Locking Payroll
If securing your pay runs for either auditing and or security purposes is important to you, Hectre offers the ability to lock your pay runs after they have been processed. This ensures that the information remains unchanged whenever you access it in the future, giving you peace of mind.
In case you need to make an edit, your payroll administrators can unlock a pay run for a limited time to allow for changes. However, if you prefer not to lock your pay runs, that's perfectly fine too - it's an optional feature.
Locking your pay run
If you've processed your pay run and are ready to lock it away, follow the steps below. Please note that only people with Full Dashboard access rights can perform this action. Pay runs can only be locked from May 2023 onwards.
Step 1
- Sign in to the dashboard (app.hectre.com)
- Click Payroll
- Click More to view further filter options
Step 2
- Adjust date range to choose a pay run to lock
- Current Pay Run
- Previous Pay Run
- Select Pay Run - allows you to choose from historical pay runs via the date picker
Step 3
- Click Lock Pay Run
Once a pay run has been locked, the only way to edit it will be for an administrator with sufficient dashboard permissions to unlock it.
Anyone trying to edit or delete a timesheet or bin record after a pay run has been locked will see the below screen
Unlocking a Pay Run
If you need to edit a timesheet or harvest information in a locked pay run, don't worry - it's still possible. An administrator with full dashboard access permissions can unlock the pay run, allowing you to make the necessary changes.
Step 1
On the Payroll filters:
- Adjust date range to choose a pay run to unlock
- Current Pay Run
- Previous Pay Run
- Select Pay Run - allows you to choose from historical pay runs via the date picker
Step 2
- Click Unlock Pay Run
Step 3
- Choose how long to unlock the pay run for
- Enter a reason for unlocking the pay run
- Click Unlock
Once a pay run has been unlocked users will be able to edit information in this pay run for the duratrion selected above.
